Outreach/Assistant Events Coordinator Job Description

QUALIFICATIONS: The "Outreach in the Schools"/Assistant Events Coordinator must have excellent communication, organizational and supervisory skills. All applicants must be able to work independently and on multiple projects simultaneously.  Prior work/college experience desirable.

FUNCTION:  The "Outreach in the Schools"/Assistant Events Coordinator works in direct support of the Artistic Director and Events Coordinator, with major responsibilities for Community Outreach program delivery.
 
DUTIES INCLUDE
(Duties may vary according to the time of year and at the discretion of supervisors.)

OUTREACH IN THE SCHOOLS (primary job responsibilities)
• Coordinate "Outreach in the Schools" program;
• Contact schools and schedule outreach projects;
• Maintain contact with school coordinators and ensure that all necessary arrangements are made for a successful program. Confirm all arrangements in writing;
• Supervise all housing, travel, meal, technical and artistic needs of outreach artists;
• Maintain records of expenses;
• Attend and supervise all outreach programs
• Assist with Artist-in-Residence programs as needed;
• Provide support for all other non-school, community based outreach programs.

PROGRAM REPORTS
• Ensure that each outreach event is evaluated in writing by participants (teachers, students, audience members, etc.) as needed;
• Following each event, present a written report (including expenses, statistics, etc.) to the Artistic Director;
• Ensure comprehensive program documentation, evaluation and assessment.  

EVENING SERIES & FAMILY MATINEE CONCERT SERIES
• Assist Artistic Director and Events Coordinator in devising an Event Operations Plan;
• Assist with supervising site, stage and house set-up for the performances held in the 250-seat, on-site theatre and 2,500-seat off-site theatre;
• Under the supervision of the Events Coordinator, manage housing, travel, meal, technical and artistic needs of artists;
• Coordinate volunteers for the concerts and the coffeehouse;
• Set up, market and run the Evening Series coffeehouse;
• Prepare volunteer job description packages;
• Assist with volunteer appreciation activities.

FESTIVAL (January - June)
• Assist with site, stage and house set-up for the on-site, outdoor Festival (10,000 person capacity);
• Assist with recruiting and coordinating volunteers for the event;
• Assist with supervision of housing, travel, meal, technical and artistic needs of artists;
• Prepare volunteer job description packages;
• Supervise volunteers on work weekends in May.

MARKETING/PROMOTION
• Assist Marketing Department as needed.  

BOX OFFICE
• Assist with the Season Series and Festival Box Office operation by taking telephone ticket orders.

FUNDRAISING/DEVELOPMENT
• Assist with fundraising projects as required.

OFFICE DUTIES
• Carry out general administrative duties including mailings, photo copying, collating, phone answering, etc.

The "Outreach in the Schools"/Assistant Events Coordinator will be expected to carry out additional duties from time to time as deemed necessary by the Artistic Director or Executive Director.
